Who We Are

NIYOJAN is an AI-powered operational intelligence platform for event and wedding planning companies in India. NIYOJAN is currently operated as a sole proprietorship by Nitish N Daftari, trading under the name NIYOJAN, based in Pune, Maharashtra, India.

We acknowledge all complaints within 72 hours and resolve within 30 days.

Who This Policy Applies To

This policy applies to two groups of people:

(a) Company Admins and Team Members — employees and contractors of event planning companies who create accounts and use the NIYOJAN dashboard. These are our direct customers.

(b) WhatsApp Group Participants — vendors, clients, family members, and other individuals whose messages appear in WhatsApp groups that have been linked to NIYOJAN by a customer company. These individuals have not signed up for NIYOJAN directly. The event planning company that linked the group is responsible for informing them that AI processing is active.

If you are a WhatsApp group participant who did not sign up for NIYOJAN and you have concerns about your data, contact privacy@niyojan.live and we will respond within 72 hours.

What Data We Collect

We collect only what is necessary to operate the platform.

What we collect

  • WhatsApp message text from groups explicitly linked to NIYOJAN by a customer company
  • Sender display name or phone number as it appears in WhatsApp
  • Message timestamp and group identifier
  • Structured data we extract from messages: tasks, decisions, vendor names, payment amounts, commitments, and event-related updates
  • Account information for dashboard users: name, phone number, and company name
  • Login activity and session data for dashboard users
  • Consent records: when and how you agreed to our Terms of Service and Privacy Policy

What we do NOT collect

  • Images, videos, audio messages, or documents shared in WhatsApp groups
  • Messages from personal WhatsApp chats — only group messages from groups explicitly linked by the customer company
  • Payment card numbers, bank account numbers, or UPI credentials
  • Aadhaar number, PAN, passport, or any government identity document
  • Health data, biometric data, or any sensitive personal data as defined under the DPDP Act 2023

We do not build profiles on individual vendors or clients beyond what is necessary to track payments and tasks for a specific event.

How We Use Your Data

We use collected data for the following purposes only:

  • (a) Operational intelligence extraction — We send message text to an AI model (Anthropic Claude) to identify tasks, decisions, vendor quotes, payment updates, and commitments. The extracted structured data is displayed on the NIYOJAN dashboard for authorised team members of the customer company.
  • (b) Dashboard functionality — Extracted data is stored and displayed to the event company's team for task tracking, vendor finance management, and event coordination.
  • (c) Quality monitoring — We monitor AI extraction accuracy using confidence scores and suggestion rates to improve our system. We do not use your message content to train AI models.
  • (d) Customer support — We may access message logs only when you raise a specific support request about an incorrect extraction. We will not access your data for any other reason.
  • (e) Legal compliance — We retain and process data as required under applicable Indian law.

We do not sell your data. We do not use your data for advertising. We do not share your data with any third party except as described in the section below.

Cookies and Tracking

We do not use advertising cookies, tracking pixels, or third-party analytics scripts on the NIYOJAN dashboard or website. We do not use Google Analytics, Meta Pixel, or any equivalent service.

Our web server generates standard access logs (IP address, browser user agent, requested URL, timestamp) as part of normal server operation. These logs are used solely for security monitoring and are retained for 30 days.

We use a session token stored in your browser's local storage to keep you logged in. This is technically necessary for the service to function and is not used for any tracking purpose.

Legal Basis for Processing

Under India's Digital Personal Data Protection Act 2023:

For dashboard users (company admins and team members): Processing is based on your consent, which you give when you agree to these terms during account creation and on first login.

For WhatsApp group participants: Processing is based on the legitimate interest of the event planning company that linked the group, for the purpose of business operations and event coordination. The company is the Data Fiduciary for communications within their operational groups. NIYOJAN acts as a Data Processor on their behalf under a Data Processing Agreement.

Who We Share Your Data With

We share data with the following sub-processors only:

We do not share data with any other third parties. We do not share data between different customer companies. One company's data is never visible to any other NIYOJAN customer under any circumstances.

Cross-Border Data Transfer

When messages are processed by Anthropic's AI model, message text is transmitted to Anthropic's servers in the United States. This constitutes a cross-border transfer of personal data under the DPDP Act 2023.

By agreeing to these terms, dashboard users, as representatives of their company, consent to this cross-border transfer for the specific purpose of AI-powered operational intelligence extraction. This consent extends to processing of messages from groups linked by the company.

All other data storage — including raw messages, extracted tasks, vendor payments, decisions, and account information — is stored on servers physically located in Bangalore, India.

When a Group is Removed

When an admin removes a WhatsApp group from NIYOJAN, the NIYOJAN observer number is no longer active in that group. No new messages from that group are collected or processed from that point forward.

Existing message data collected before the removal follows the standard retention periods described above — raw message text is deleted after 90 days, and extracted structured data is retained for the duration of the subscription.

If you wish to request early deletion of data from a specific group that has been removed, contact privacy@niyojan.live.

Your Rights

If you are a dashboard user

  • Right to access: You may request a copy of all personal data we hold about you. We will respond within 30 days.
  • Right to correction: You may correct inaccurate personal data through dashboard settings or by contacting privacy@niyojan.live.
  • Right to deletion: You may request deletion of your account and all associated personal data. We will process deletion within 30 days. Consent records are retained as required by law.
  • Right to data portability: You may export your event data including tasks, decisions, and vendor payment records from the dashboard at any time.
  • Right to withdraw consent: You may close your account at any time by contacting privacy@niyojan.live. Withdrawal does not affect the lawfulness of processing that occurred before withdrawal.

If you are a WhatsApp group participant

Contact the event planning company that added our observer number to your group. That company is the Data Fiduciary and is responsible for fulfilling your rights request. You may also contact privacy@niyojan.live directly and we will facilitate your request and respond within 30 days.

Security

  • All data in transit is encrypted using TLS/HTTPS
  • Database encrypted at rest on DigitalOcean's Bangalore infrastructure
  • Dashboard access requires authenticated login with secure session tokens
  • The NIYOJAN observer number operates in strict read-only mode — it cannot send messages, reply to messages, react to messages, add or remove group members, or modify any group content
  • API keys and credentials stored as environment variables, never in source code
  • Access to production systems limited to authorised personnel only

In the event of a data breach that may affect your personal data, we will notify affected customers within 72 hours of discovery, including details of what data was affected and what steps we have taken.

Children's Data

We do not knowingly collect or process personal data of individuals under the age of 18. Wedding and event coordination groups may include family members who are minors. If you believe that a minor's messages have been processed through our system, please contact privacy@niyojan.live immediately. We will take immediate steps to identify and permanently delete that data.

Changes to This Policy

We will notify all dashboard users by email and by in-app notification at least 14 days before any material change to this policy takes effect. The notification will describe what has changed and why in plain language. Continued use of the platform after the effective date constitutes acceptance of the updated policy.

We maintain an archive of all previous versions of this policy at niyojan.live/privacy/archive.
